The Autscape 2023 will be at The Hayes conference centre from Monday 15.00 hrs on 31st July 2023 until 14.00 hrs Thursday 3rd August 2023.

We will also be having an online event at the same time, where the same main programme presentations will be live-streamed and there will be online opportunities for participant-led activities and socialising. Please see the online event page for information and booking. The rest of the information below is about the residential, in-person event.

Fees

The per-person fees for the three-day main event are as follows:

Optional extra day

There will be an extra day with no programme content for those who would like to stay and relax some more before going home by 10.00am on Friday 4th August with limited space for 100 participants.

Though we have exclusive use of the venue during Autscape itself, we cannot guarantee exclusive use on the extra day. At the time of writing, no other group is booked in on Thursday night, but we cannot promise another group will not book.

Bursaries

Cannot afford to come to Autscape? We may be able to help you with a kind of financial assistance called a bursary.

You should apply for a bursary before you book a place that is dependent on a bursary. You will be notified of the outcome by the Bursary committee and then you will be able to book.

Venue accessibility

The venue is fully accessible in that it has accessible bedrooms with accessible bathrooms and ramps/lifts, etc., however, the venue is big and the accommodation is similar to a Travelodge/Premier inn. This means there is some degree of walking involved to get to the dining rooms, conference rooms and communal areas. If you have difficulty walking you might want to consider taking your own or hiring a mobility scooter. If you indicate when you book that you have difficulty walking we will try and place your bedroom closer to the communal areas. However, these rooms may not always be the quietest as they have more footfall as people have to pass to get to the further away rooms. We appreciate that this is not ideal but this is the nature of most venues in that they do not have bedrooms conveniently located between the dining hall, lounge and main meeting room.

Rooms

All rooms are en-suite. The few non en-suite rooms available last year are undergoing renovation. You will be able to book a single room, a double room (for two people sharing a bed), a twin room or a variety of family rooms. There are also accessible rooms. Note: you will only have to share a room if you book a shared room.

Food

Breakfast, lunch and dinner are included and refreshments. Tea/coffee facilities are available in the lounge and rooms. All main special diets are catered for eg. Vegetarian, vegan, GFCF and you will be asked about diets when booking.

Transport

We will be running transport from Alfreton station on Monday afternoon and at various times returning to Alfreton on Thursday. We will also provide transport on Friday morning. Transport is free but we would appreciate a donation to cover the cost. You will be booking a seat and seats are limited. We will also have helpers at Alfreton and Derby stations on arrivals day.

Selling space

We will also be offering selling space again for a small fee. This will be better located than last year and table space will be limited.

Bar

There will be a bar in the evenings and a merchandise and tuck shop available. Purchases from the venue are card only and purchases from Autscape, e.g. the shop, are cash only.

Crèche

A crèche will be available for children during the main programme. The crèche will be provided by Box of Frogs childcare who are familiar with Autscape and have been providing the crèche facilities for us for many years.
